A checklist for switching pet care software
Moving booking software is mostly about not losing anything: a client’s phone number, a dog’s allergy, next Tuesday’s booking. This list works whichever software you are moving from or to.
Before you choose a date
- Find out which version of your current software you are on, and whether it runs in the browser or on a computer in the shop.
- Ask your current provider what they can export, in what format, and whether they charge for it.
- List what you rely on every day that a new system must do, and check each one in a trial with real bookings.
- Ask the new provider which of your records they can bring across, and which they cannot.
What to export
- Clients, with every email address and phone number.
- Pets, with breed, birthday, desexed status and your notes on each.
- Vets and emergency contacts linked to each pet or client.
- Vaccination certificates and other documents, with their expiry dates.
- Upcoming appointments, stays and class places, including repeating bookings.
- Services and prices, packages, passes and memberships.
- Credit balances, prepaid packages and unpaid invoices, so you know what is owed either way.
- Signed agreements and form answers you need to keep.
Checking the move
- Compare a sample of clients and pets side by side in the old and new systems.
- Check one full week of upcoming bookings against the old calendar, day by day.
- Decide where unpaid invoices and package balances will finish, and write it down.
- Confirm that anything not coming across is either kept elsewhere or no longer needed.
Going live
- Choose a quiet week to switch, and keep access to the old system until you are satisfied.
- Give your team a short run-through of the bookings they handle most.
- Tell clients the new booking link and how they will sign in, before the first reminder arrives from the new system.
- Turn off reminders in the old system so clients do not hear twice.
